Clear rules, enforced by your Microsoft security tools and monitored 24/7.

AI opens new doors to your data. We make sure only the right people walk through them.

AI assistants are most useful when they can reach your email, files, and financial systems, and that is exactly why they need protecting. A free AI account, an overshared folder, or a hijacked login can expose information you would never hand to a stranger. Our approach layers policy, identity, data protection, and monitoring, so AI makes your team faster without making your business easier to attack.

How we secure your AI

Every control below is part of how we roll out and manage AI for our clients.

AI Acceptable Use Policy

Everyone knows the rules

A clear, plain-English policy covering which AI tools are approved, what information can and cannot go into them, and when a person must review AI output before it is used.

Business-Grade AI Accounts

Your data stays under your control

Your team uses company-managed business accounts, not personal or free ones, with terms that keep your content from being used to train AI models and with data retention set to fit your needs.

Shadow AI Discovery & Control

No surprise AI apps holding your data

We find the AI tools staff are already using and steer them to approved ones, then use your Microsoft security tools and web filtering to restrict unapproved apps and browser extensions.

Single Sign-On & Conditional Access

Only your people, on trusted devices

AI accounts sign in through Microsoft Entra ID with multi-factor authentication, and Conditional Access can require a managed, healthy device, so a stolen password alone does not open the door.

Permissions & Oversharing Cleanup

AI finds only what it should

Connected AI sees what each person can already access. Before rollout, we review SharePoint, OneDrive, and Teams sharing and fix overshared files, so sensitive information does not surface in AI answers.

Least-Privilege Connectors

AI reaches only the apps it needs

Only vetted, admin-approved connectors are enabled, with the narrowest access that gets the job done, such as read-only access to QuickBooks Online for reporting.

Human Approval for AI Actions

AI suggests, people decide

Sending email, changing financial records, and sharing files stay behind a human approval step, which also limits prompt injection: hidden instructions planted in emails, documents, or web pages.

Sensitivity Labels & Data Loss Prevention

Confidential data stays protected

Microsoft Purview sensitivity labels and data loss prevention policies help keep client records, financial data, and personal information from being shared where it should not go, with or without AI.

24/7 Identity Monitoring & Audit Logs

Compromised accounts caught fast

An attacker who takes over an account also gets its AI access. Our 24/7 identity threat detection and response watches Microsoft 365 sign-ins around the clock, and audit logs show how AI is being used.

Onboarding & Offboarding

Access ends the moment employment does

New hires get the right AI access on day one. Departing employees lose it immediately, along with their connected-app access, as part of our standard offboarding.

Staff Security Training

A team that uses AI wisely

Practical training on what not to share with AI, how to check its work, and how to spot the more convincing phishing and fraud attempts that criminals now write with AI.

Compliance-Aware Configuration

AI that fits your regulations

For healthcare, financial, and legal clients, we configure AI tools around your obligations, such as confirming a HIPAA business associate agreement is in place before any patient information is used with AI.

Part of your complete security picture

AI security works best on top of a well-secured foundation. It builds on our Managed Cybersecurityprotections against phishing, account takeovers, and ransomware, and on Microsoft 365 hardening from SimplifyIT with Microsoft 365. Ready to put AI to work? See AI for Everyday.

Frequently Asked Questions

Is it safe to use AI like Claude or ChatGPT with company data?
Yes, when it is set up correctly. Use company-managed business accounts instead of free or personal ones, sign in with single sign-on and multi-factor authentication, connect only approved apps with limited access, and clean up overshared files first. Tridium puts all of these controls in place as part of every AI for Everyday rollout.
What is shadow AI?
Shadow AI is any AI tool employees use without the company’s knowledge or approval, such as a personal chatbot account or an AI browser extension. Company information pasted into those tools leaves your control. We find what is in use, move staff to approved business accounts, and restrict the rest.
What is prompt injection, and how do you protect against it?
Prompt injection is when hidden instructions in an email, document, or web page try to trick an AI assistant into doing something it should not, like sharing data or sending a message. We reduce the risk by limiting what connected AI can access, enabling only vetted connectors, and requiring a person to approve actions such as sending email or changing records.
Can AI see files that employees should not see?
AI connected to Microsoft 365 respects existing permissions, so it can only see what the signed-in person can already open. The risk is that many businesses have overshared files that AI makes easier to find. We review and fix SharePoint, OneDrive, and Teams sharing before AI is turned on.
Can we use AI with patient information under HIPAA?
Only with a vendor and plan that will sign a HIPAA business associate agreement (BAA), configured to match it. Some AI vendors, including Microsoft and Anthropic, offer BAAs for qualifying business plans or configurations. We confirm the agreement and settings are in place before any ePHI is used with AI, and keep patient data out of AI tools that are not covered.
Do we need an AI acceptable use policy?
Yes. Your staff are likely already using AI, and a short, clear policy tells them which tools are approved, what information is off limits, and when AI output needs a human review. We help you write one that fits your business and industry.
